Pre-Arrival Info

All the info we send ahead of arrival, archived in one spot!

Admissions sends all information necessary for camper arrival via emails sent through our camp registration platform, CampDoc. This information is sent directly to each full user on a camper's account. Full users on a CampDoc profile must be the child's legal guardian, so in the case someone other than their legal guardian is bringing them to or from camp, please ensure you are forwarding important info along to them, and inform us of this alternative approved adult, so we know we have your permission to release your child into their care!

There are so many invisible steps to creating what seems like an effortless camp experience! A big part of that is ensuring that our staff have all the information they need about your campers before they get here. Not only do we have multiple members of our staff read each camper's profile ahead of arrival, but we also print out information for the staff directly involved in your child/ren's care. Being screen-free with our campers means this info all needs to be printed. We need to have these files ready to go when staff arrive for training in June, so they're ready to welcome your child/ren later in the summer. As you can imagine, printing out files and putting them in folders for all our campers takes us a bit of time, so thank you for working with us to get this info input and updated in a timely manner!

ShipCamps!

ShipCamps is a third-party service we partner with to help folks who are interested in having their child/ren's overnight luggage shipped to and/or from camp. ShipCamps provides a welcome packet before pickup, including easy-to-attach bag tags to ensure a smooth shipping process. At the end of each session, they work directly with us to make sure your camper’s bags/trunks are packed, labeled, and ready to be shipped home.

Set up CampGrams!

Campgrams are ways to send messages to your overnight camper as quickly as an email!
CampDocs messages are printed, folded in half and stapled for privacy, and placed in the mail bins for same day delivery! You can even post-date messages to be sent on specific days while your child is at camp. Admissions expects to print the messages before 10am each day Monday through Friday to be included in that day’s mail delivery and delivers messages dated over the weekend on the following Monday.

You can add Campgram users to your child’s account for this purpose alone, and those folks will not receive any communication from Admissions nor be able to access your child’s account.

Photos!

We share photos from the summer via Smugmug. The galleries are password protected, and we email the password to the CampDoc user(s) for each registered camper after arrival.

Families may share this link and password with other family members, but we ask you refrain from publically sharing this info, even on a "friends only" social media post, to help ensure the safety of the children currently in our care.

Once summer has concluded, we remove the password from these galleries so everyone can see all the fun we had!

We update our galleries a few times each session, about once a week.

We will get a photo of your camper with their cabin or camp group within 48 hours of their arrival, as well as a cabin photo during the session. We also post general activity pictures so you can see the activities offered even if your child is not featured.

Our photographers respect the requests of anyone to not have their photo taken, and do their best not to have their presence with a camera interrupt any program moments!

We thank you for your trust as we balance sharing photos with family and friends with a low impact on the campers' outdoor experiences!

Letters & Packages

It's no surprise campers love getting mail! All mail for any of our campers is sent to our main office, where we sort the bags of letters every morning, Monday through Friday. Mail is not delivered to us on Saturday or Sunday, so you can imagine how much we sort through every Monday!

Here's how to address mail to your camper:

Delivery to us can take a bit longer than you might expect, as all of Vermont is considered rural delivery. Letters/postcards/parcels sent fewer than 5 business days before the end of camp are unlikely to arrive in time for campers to recieve them before heading back home.

Don't forget you can send messages via CampGrams in CampDoc, and can even add other folks to your child/ren's profiles with CampGram only access, so they can send messages too! Each message is 50 cents, and can even include a photo! These messages are printed every weekday morning, folded and stapled, and included with the mail delivery for camps that day. You can post-date messages for specific days. Any message planned for Saturday/Sunday will be printed on the following Monday.

Contacting Camp Staff

There might be times during the summer you'd need to be in contact with camp staff regarding your child/ren, and the method of communication that will usually get the quickest, best response is to send an email to the camp director.

At Timberlake and Firefly Song, each age group, which we call a lodge, has a staff member who is the lodge head, and one of their responsibilities is communicating with camper families.

You can also call each camp's office directly, and we suggest being prepared to leave a message or voicemail for someone to call you back when able, usually within 24-48 hours. Camp Office numbers are listed in our Family Handbooks.

Admissions answers calls, emails, and live chats up at our main office, 8am to 4pm on Monday through Friday.

As much as we wish we could answer every question ourselves, most often the best answers are going to come from the staff more directly in contact with your child/ren, and as such we can transfer your call or forward your email along to the right folks as needed!
